This Privacy Policy explains how we collect, use, store and share personal data when you visit or use Monograph.

1. Who is responsible for your data?

Readylog Ltd is the controller of personal data processed in connection with your Monograph account and use of the Monograph service.

Some third parties that provide services to you directly, such as our payment provider or LinkedIn, may act as separate controllers for information they process under their own terms and privacy policies.

2. Information we collect

Depending on how you use Monograph, we may process:

Account information, including your email address, authentication identifiers and basic profile information.

Content you create or save, including drafts, scheduled or published post content, first comments, notes, ideas, Brain items, URLs, transcripts, uploaded images or other supported media.

LinkedIn connection and publishing information, including information necessary to connect your LinkedIn profile, connection status, publishing identifiers, scheduled and published post information and available post-performance data.

Subscription information, including your subscription status, trial status and identifiers associated with your Polar customer, checkout or subscription. Payment card information is handled by Polar and its payment providers; Monograph does not need to store your full payment-card details.

Support information, including support, bug and feedback requests, messages exchanged with us, your email address and relevant page or account context.

Product analytics, consisting of a deliberately limited set of product events used to understand whether important Monograph workflows are working and being used. Our current PostHog configuration uses manual events, does not use session recording or automatic page tracking, does not store analytics cookies or localStorage identifiers, and identifies signed-in users using their internal Monograph user ID rather than their email address or content.

Technical and security information, which may include server logs, request information, error information, authentication events and technical identifiers needed to operate, secure and troubleshoot the service. Our Sentry monitoring is configured to minimise personal information and prevent storage of IP addresses by Sentry.

3. How we use your information

We use personal data to:

• create and authenticate your account;
• provide the Monograph workspace and save your content;
• connect your LinkedIn account at your request;
• publish, schedule, cancel and monitor posts at your request;
• provide Brain, analytics and AI-assisted features;
• manage your trial and subscription entitlement;
• respond to support, bug and feedback requests;
• send important account, security, publishing and service communications;
• protect Monograph against fraud, misuse and security threats;
• understand whether core product workflows are working effectively;
• diagnose errors and improve reliability;
• comply with legal, regulatory, accounting and tax obligations; and
• establish, exercise or defend legal claims where necessary.

4. Our lawful bases

Under UK data-protection law, we rely on different lawful bases depending on what we are doing.

We rely primarily on contract where processing is necessary to create your account, provide Monograph, store your content, connect supported services, deliver requested AI functionality or provide publishing and subscription functionality.

We rely on legitimate interests where reasonably necessary to secure and operate the service, prevent abuse, provide customer support, diagnose errors and understand limited product usage. Our legitimate interests are operating a secure, reliable and useful software service while keeping the privacy impact proportionate.

We rely on legal obligation where information must be retained or processed to comply with applicable law, regulatory requirements or legitimate accounting and record-keeping obligations.

Where consent is legally required for a particular activity, we will ask for it separately. You may withdraw consent where applicable.

5. AI-assisted features

Some Monograph features allow you to ask for AI assistance, such as improving writing, shortening text, rewriting content, summarising material or developing content angles.

When you choose to use an AI feature, relevant content is sent to the AI infrastructure used to provide that requested feature.

AI suggestions may be inaccurate, incomplete or inappropriate. Monograph is designed so that AI assists rather than replaces your judgment. You decide whether to use an AI-generated suggestion.

Monograph does not use AI to make solely automated decisions about you that produce legal or similarly significant effects.

6. Who we share information with

We use carefully selected service providers to operate Monograph. These currently include providers supporting:

• Lovable and Lovable Cloud / Supabase — application hosting, database, authentication, storage, server functions and transactional email infrastructure.
• Outstand — LinkedIn connection, publishing, scheduling and related publishing information.
• LinkedIn — when you choose to connect your account or publish content to LinkedIn.
• Polar — subscription checkout, billing, invoicing, payments and applicable indirect-tax handling as Merchant of Record.
• PostHog — limited product analytics.
• Sentry — application error monitoring and reliability.
• AI infrastructure made available through Lovable — when you explicitly use an AI-assisted feature.

We may also disclose information to professional advisers, regulators, courts, law-enforcement bodies or other authorities where disclosure is legally required or reasonably necessary to protect our rights, users or service.

We do not sell your personal data or user content.

7. Polar and payment information

Polar acts as Merchant of Record for Monograph subscriptions.

When you purchase a Monograph subscription, your payment transaction is processed by Polar under Polar’s own Buyer Terms and Privacy Policy.

Polar handles payment-card details, invoicing and applicable indirect taxes within its service. Monograph receives the subscription and customer information necessary to determine whether your account has access to paid features and to provide customer support.

8. International transfers

Some of our service providers may process information outside the United Kingdom, including in the United States or European Economic Area.

Where UK data-protection law requires safeguards for an international transfer, we require an appropriate legal transfer mechanism, such as an applicable adequacy arrangement, the UK International Data Transfer Agreement, the UK Addendum to approved standard contractual clauses, or another lawful safeguard.

You may contact us if you would like further information about safeguards relating to your personal data.

9. How long we keep information

We keep personal data only for as long as reasonably necessary for the purpose for which it was collected.

Account information and user content are generally retained while your Monograph account remains open.

Cancelling your paid subscription does not automatically delete your account or stored drafts and Brain content. You can contact us if you want your account and eligible personal data deleted.

When an account is deleted, we will delete or anonymise personal data that we no longer need, subject to reasonable backup cycles and information we are required or permitted to retain for legal, security, accounting, fraud-prevention or dispute-resolution purposes.

Financial and transaction-related records may be retained for up to six years or such other period as applicable law requires.

Support, security, analytics and technical information is retained only for as long as reasonably necessary for customer support, product reliability, security, record keeping and dispute resolution, and is periodically reviewed.

10. Security

We use technical and organisational measures designed to protect personal data.

These include authentication controls, server-side protection of privileged operations, database Row Level Security, restricted access to user-owned records, private storage for supported user media, secret-management controls and monitoring of application errors.

No online service can guarantee absolute security, but we design Monograph to minimise unnecessary access to customer information and keep privileged operations server-side.

11. Your rights

Depending on the circumstances, UK data-protection law may give you the right to:

• access personal data we hold about you;
• correct inaccurate or incomplete information;
• request deletion of personal data;
• restrict certain processing;
• receive certain personal data in a portable format;
• object to processing based on legitimate interests; and
• withdraw consent where processing is based on consent.

These rights are not absolute and may depend on the purpose and lawful basis for the processing.

You also have the right to complain to the UK Information Commissioner’s Office (ICO). We would appreciate the opportunity to address your concern first, but you are not required to contact us before approaching the ICO.

12. Browser storage and analytics

Monograph uses browser storage where necessary for essential functionality such as authentication and security.

Our current product analytics configuration does not use analytics cookies or persistent analytics localStorage and does not use session recordings, heatmaps or automatic page-view tracking.

If we materially change our use of cookies or similar technologies, we will update our disclosures and obtain consent where required.

13. Children

Monograph is designed for professionals and is not intended for children.

You must be legally capable of entering into the agreement governing your use of Monograph.

14. Changes to this Privacy Policy

We may update this Privacy Policy when our product, providers or legal obligations change.

If a change materially affects how we use your personal data, we will take reasonable steps to bring the change to your attention before it takes effect where required.
